When a form is submitted, typically you will be notified via the notification system. If not, or you need to review submissions outside of email, Forms allows the ability to review those submissions directly from within your admin dashboard. In this article, we will show you how to review all of your Gravity Forms submissions.

Accessing your form submissions

Within your admin dashboard, click on Forms in the left side navigation menu.

You should now see a list of all forms. To access the submissions for that form, hover over the form you want to access, and click on Entries.

You should now see a list of all form submissions listed there.

To access the full information of an individual form submission, click on the individual entry listed.

Filtering form submissions

When reviewing form submissions, it is also possible to filter them to get the exact data you’re looking for. This is especially helpful if you have a large number of submissions over time.

To filter your submissions, simply access all submissions for your desired form, and use the dropdowns and text fields at the top right.

The post Reviewing Form Submissions first appeared on Our-Hometown.

Shortcode Builder

From the Page or Post Editor you can click on the Form icon in the Upload/Insert toolbar. This is located to the left of the Visual/HTML tabs in the body text editor. Clicking on the Form icon will activate the insert form modal window.

Using the shortcode builder you will first want to select a form from the Select a Form dropdown. If you are unable to find your form in the dropdown list, return to the Edit Forms page and ensure that your form is active. Once you have selected a form, you can specify the following options:

Display form title
Checking this option will display the form title

Display form description
Checking this option will display the form description

Enable AJAX
Checking this option will enable your form to be submitted via AJAX. Submitting the form via AJAX allows the form to be submitted without requiring a page refresh.

Please note, due to limitations with reCAPTCHA, forms containing a reCAPTCHA field will not be submitted via AJAX even if this option is enabled.

After you have specified your desired options, click Insert Form to automatically insert the Gravity Forms shortcode into the body of the post/page content you are editing.

Shortcode Manually

If you would like to build the WordPress shortcode manually, you may do so using the format and options below. You may then insert the shortcode into the body of the page or post you would like the form to appear in.

Example:

id
The id of the form to be embedded. (required)

title
Whether or not to display the form title. Defaults to ‘true’. (optional)

description

When hovering over or clicking on a field in the Form Editor you will be able to access several different options to modify or interact with the field in the Field Toolbar.

In the top left corner you will see a few pieces of information about the form. The first piece of information is the field type (ie Custom Field, Paragraph Text, Drop Down, etc). This is useful as some fields (such as the Custom Field) allow for different types of inputs. It can be difficult to determine which kind of field you are working with when a Checkboxes Field and a Custom Field set to checkbox inputs both look the same. Problem solved!

The second piece of information is the Field ID. This is super useful for a variety of tasks but especially so when retrieving field values with any of Gravity Forms’ hooks.

In the top right corner you will see the following options:

Edit/Close
Clicking the “Edit” link will select the field and open up the full field options. If the field is currently selected, the “Edit” button will be updated to the “Close” button. Clicking the “Close” button will hide the field options.

Duplicate
Clicking the “Duplicate” link will duplicate the current field preserving all of the field options in the new field. The duplicated field will display directly below the original field.

Delete
Clicking the “Delete” link will delete the field from the form. You will be prompted to confirm before the field is deleted. Don’t forget that deleting a field also deletes all entry data associated with it.

Sometimes, you may need to export your form submissions for offline viewing or for further data manipulation. In this article, we will show you how to easily export all of your form entries with just a few clicks.

First, log into your WordPress admin dashboard.

From within inside your WordPress admin, hover over Forms and click on Import/Export.

You should be immediately prompted with the Export Entries tab. Within here, select the form that you want to export the entries for in the dropdown.

Once the form to export entries from is selected, additional options will be shown. The first of these settings is the Select Fields option. This will allow you to specifically select the form fields you want to export. Simply select the checkboxes next to each form field that you want to export.

The next available option is Conditional Logic. Here, you are able to export only fields that contain specific information.

Lastly, you may also select a date range for the field submissions that are exported. If you leave this blank, all entries will be exported.

Once all options are appropriately selected according to your needs, click the Download Export File button. Depending on the amount of information you have within your export, this can sometimes take a few moments.

You have now exported your form entries. From here, what you do with this information is all up to you. This feature is great for backing up your data, as well as generating an offline copy of submissions for further investigation.

The post Forms > Exporting Entires first appeared on Our-Hometown.

Within forms, you have the option of configuring additional routing. This is similar to conditional logic, in that different events can cause the notification to go to a different recipient. In this article, we will show you how to configure routing options within your notification.

First, start by accessing the notification that you want to configure additional routing for. This can be done by accessing the form associated with the notification, hovering over Settings, clicking on Notifications, and then accessing the notification you want to manage. If you want to create a new notification, simply click the Add New button.

Within the settings for your notification, you will see an option labeled Send To. If you select Configure Routing, additional options similar to conditional logic will appear.

Inside the routing configuration, the first thing you will need to do is determine where the notification will be sent if the routing condition is met. Simply enter the email address of the user that you want to send the notification to.

Next, you’ll need to configure the field that the routing condition will use. To do so, use the dropdown box to select the field that the condition will be based on.

Now that the field is selected, you’ll need to set the operator used to compare the field and value. For example, if you only want to send this notification if a particular radio button is checked, you would select iswithin the operator dropdown. Conversely, if you do not want a notification to be sent when that radio button field is selected, you would use is not.

Finally, you’ll need to set the value that will be used to compare against the field submission result. If using pre-selected options, this will appear as a dropdown. If the field is something like a text field where the user will enter their own value, the condition value will appear as a text box. Within the condition value, enter the value to compare with the submission.

If you want to add addition conditions or remove a condition, use the + and – icons to the right of the condition item to either add or remove it.

You can now continue configuring your notification as seen fit. Remember that Forms only sends notifications when conditions are met, so if you’re having trouble, double-check your settings as there is a high likelihood that a condition simply isn’t matching.

The post Form Notifications > Email Routing first appeared on Our-Hometown.
